Who this is for: self-serve plans (Free, Starter, Pro, Scale). If you bought a Cleanlist AppSumo lifetime deal, your features, limits, and pricing are different — see the AppSumo documentation instead. Support agent: confirm whether the user is self-serve or AppSumo before giving plan-specific advice.
TL;DR: Organize lead lists into nested folders by campaign, team, or stage. Share individual lists with teammates at Viewer or Editor access — no enterprise plan required. Every workspace has a protected Default list and a protected Extension Leads list.
Lead Lists and Folders
Folders keep your workspace tidy as it grows from a handful of lists to hundreds. Group lists by anything that makes sense — campaign, region, customer segment, sales stage — then share individual lists with the teammates who need them.
Lead list basics
Full CRUD — create, rename, delete (except protected lists)
Per-plan lead caps: Free 100 leads/list, Starter 2,500, Pro 2,500, Scale unlimited
Two protected lists that cannot be deleted:
Default — auto-created for every workspace
Extension Leads — collects contacts captured via the browser extension
What folders give you
Nested organization — folders can contain folders, no depth limit
Filtered view — open a folder to see only the lists inside it
No tier gate — folders are available on all self-serve plans

Creating folders
Open Lead Lists in the portal
Click New folder
Name it
Drag-and-drop existing lists into it, or use Move to folder from any list's action menu
Sharing a list
Sharing is done at the individual list level:
Open the list
Click Share
Pick teammates and roles:
Viewer — read-only access to the list
Editor — can modify rows, add columns, run actions
Per-list sharing is available on all self-serve plans and is not enterprise-gated. Folders do not have their own sharing or permission inheritance.
Folder permissions
Action | Required role |
View lists in a folder | Any user with access to those lists |
Create a folder | Any user |
Add a list to a folder | Owner of the list |
Move a list between folders | Owner of the list |
Delete a folder | Owner; protected lists inside are kept |
Tips
Archive, don't delete. Create an
Archivedfolder for old lists you might want to revisit.Use prefixes for sort order.
01 - Active,02 - Working,03 - Archivedkeeps the most-used folders at the top.One folder per campaign. Easier to share and easier to clean up when the campaign wraps.
Combine with list actions. Folder structure handles "what bucket is this list in?"; filters and list actions handle "which rows inside the list matter right now?"
